The controller is the natural or legal person who, alone or jointly with others, determines the purposes and means of processing personal data.

2. General Information on Data Processing

We treat your personal data confidentially and in accordance with the applicable data protection legislation, particularly the General Data Protection Regulation (GDPR), and this Privacy Policy.

Personal data means any information relating to an identified or identifiable natural person. This includes, for example, names, addresses, email addresses, telephone numbers, IP addresses and the contents of documents submitted to us.

We process personal data only insofar as this is necessary to provide a functional website, respond to enquiries, prepare quotations, perform assignments or comply with legal obligations, or where you have consented to the processing.

3. Legal Bases for Processing

Depending on the circumstances, personal data is processed in particular on the following legal bases:

  • Art. 6(1)(a) GDPR, where you have consented to the processing;
  • Art. 6(1)(b) GDPR, where processing is necessary in order to take steps prior to entering into a contract or to perform a contract;
  • Art. 6(1)(c) GDPR, where processing is necessary for compliance with a legal obligation;
  • Art. 6(1)(f) GDPR, where processing is necessary for the purposes of our legitimate interests, provided that your interests or fundamental rights do not override those interests.

4. Hosting

This website is hosted by:

ALL-INKL.COM – Neue Medien Münnich
Owner: René Münnich

When you access the website, the hosting provider processes personal data required for the technical provision, stability and security of the website.

This may include in particular:

  • IP address;
  • date and time of access;
  • page or file accessed;
  • volume of data transferred;
  • referrer URL;
  • browser used;
  • operating system;
  • hostname of the accessing device;
  • notifications of successful or failed access attempts.

Processing is based on Art. 6(1)(f) GDPR. Our legitimate interest lies in providing a secure, stable and efficient website.

Where the hosting provider processes personal data on our behalf, such processing is carried out on the basis of a data processing agreement pursuant to Art. 28 GDPR.

Server log data is deleted as soon as it is no longer required for the stated purposes, unless statutory retention obligations or specific security interests require it to be stored for longer.

5. Encrypted Transmission

For security reasons, this website uses SSL or TLS encryption. This prevents data transmitted to us from being readily read by third parties during transmission.

You can identify an encrypted connection by “https://” in your browser’s address bar and by the padlock symbol.

Please note that, despite appropriate security measures, data transmitted over the internet cannot be completely protected against access by third parties.

6. Contact by Email or Telephone

If you contact us by email or telephone, we process the information you provide in order to respond to your enquiry.

This may include in particular:

  • your name and contact details;
  • the content and purpose of your enquiry;
  • information about the requested assignment;
  • documents and files submitted;
  • any other information you provide voluntarily.

Processing is based on Art. 6(1)(b) GDPR where your enquiry relates to steps prior to entering into a contract or the performance of a contract. In other cases, processing is based on our legitimate interest in responding appropriately to your enquiry pursuant to Art. 6(1)(f) GDPR.

7. Contact Form and File Uploads

When you use our contact form, the information entered and any files uploaded are processed in order to respond to your enquiry, prepare a quotation and, where applicable, perform the assignment.

Depending on your enquiry, the following data may be processed in particular:

  • name;
  • email address;
  • telephone number;
  • content of the message;
  • requested language combination;
  • delivery deadline;
  • uploaded documents;
  • technical information relating to the submission of the form.

Processing is generally based on Art. 6(1)(b) GDPR for the purpose of taking steps prior to entering into a contract or performing a contract.

Information submitted via the contact form may also be stored in the website’s WordPress database. Access is restricted to authorised persons.

Your data will be deleted once it is no longer required to respond to your enquiry or perform the assignment and provided that no statutory retention obligations or legitimate interests require further storage.

8. Submission of Documents

You may submit documents to us as scans, photographs or files for the purpose of preparing a quotation or carrying out a translation assignment.

The documents may contain personal data relating to the person making the enquiry as well as to other individuals. Please submit only those documents and details that are required to process your enquiry or carry out the assignment.

The client is responsible for ensuring that they are entitled to submit the documents and the personal data contained in them.

Processing is based on Art. 6(1)(b) GDPR insofar as it is necessary to prepare or perform the contract. Where legal obligations apply, processing is additionally based on Art. 6(1)(c) GDPR.

9. Special Categories of Personal Data

In individual cases, documents submitted to us may contain special categories of personal data within the meaning of Art. 9 GDPR. These may include information concerning:

  • health;
  • racial or ethnic origin;
  • religious or philosophical beliefs;
  • trade union membership;
  • biometric or genetic characteristics;
  • a person’s sex life or sexual orientation.

Please submit such data only where it is required for the requested translation or language service.

Where the processing of special categories of personal data is not permitted on another statutory basis, it is carried out on the basis of your explicit consent pursuant to Art. 9(2)(a) GDPR.

You may withdraw your consent at any time with effect for the future. The lawfulness of processing carried out before consent was withdrawn remains unaffected.

10. Provision of Translation and Language Services

We process texts, documents and information provided by the client in order to provide translations, certified translations, editing, proofreading or other agreed language services.

Processing is necessary in order to:

  • assess the enquiry;
  • prepare a quotation;
  • plan the assignment;
  • select suitable specialist translators;
  • provide the agreed service;
  • clarify queries;
  • deliver the completed work;
  • comply with statutory documentation and retention obligations.

The legal basis is Art. 6(1)(b) GDPR. Where special categories of personal data are concerned, the legal bases specified in Section 9 also apply.

11. External Specialist Translators and Service Providers

We may engage carefully selected specialist translators, editors, proofreaders, interpreters or other qualified service providers to carry out an assignment.

Only the data and documents required to perform the respective assignment will be disclosed. Where possible, identification and contact details that are not required will be removed or minimised.

The persons engaged are required to maintain confidentiality and comply with the applicable data protection requirements.

Disclosure is based on Art. 6(1)(b) GDPR where it is necessary to perform the contract. In other cases, disclosure is based on consent or another statutory permission.

12. Transfers to Countries Outside the European Economic Area

Depending on the agreed language combination or specialist field, it may be necessary to engage a suitable language professional located outside the European Economic Area.

Personal data is transferred to a third country only where the requirements of Art. 44 et seq. GDPR are met. This may be the case in particular:

  • where the European Commission has adopted an adequacy decision;
  • where appropriate safeguards are used, such as the European Commission’s Standard Contractual Clauses;
  • on the basis of explicit consent following prior information about possible risks;
  • where, in exceptional cases, the transfer is necessary for the performance of a contract or in order to take steps prior to entering into a contract.

Where possible, the amount of personal data transferred is limited to the minimum necessary.

13. Retention Period for Enquiries and Assignment Documents

Personal data is stored only for as long as is necessary for the respective processing purpose.

Enquiries that do not result in an assignment are deleted once no further communication is expected and there are no legitimate grounds for continued storage.

Data relating to completed assignments may be stored for longer where this is required:

  • to perform and administer the contract;
  • to respond to possible queries or complaints;
  • to establish, exercise or defend legal claims;
  • to comply with commercial or tax-related retention obligations;
  • to comply with professional documentation obligations.

Once the applicable periods have expired, the data will be deleted or anonymised unless there is another legal basis for continued storage.

14. Recipients of Personal Data

Where necessary, personal data may be disclosed in particular to the following recipients:

  • hosting and IT service providers;
  • carefully selected translators, editors, proofreaders or interpreters;
  • tax advisers and accounting service providers;
  • banks and payment service providers;
  • postal and delivery service providers;
  • public authorities, courts or other public bodies where disclosure is required by law;
